1. Who We Are
Operent LLC ("Operent," "we," "our," or "us") operates the Operent platform — a multi-tenant SaaS for event and service businesses. Our principal place of business is in Dallas, Texas, USA. Questions about this policy? Email info@operent.co.
2. Information We Collect
We collect: (a) Account data — name, business name, email address, phone number, and billing information provided when you sign up or update your account; (b) Platform data — reservations, customers, inventory, and other business records you and your team enter into Operent; (c) Customer end-user data — information your customers submit through your storefront (name, email, event details); (d) Usage and technical data — IP address, browser type, pages visited, feature usage, and error logs collected automatically; (e) Communications — emails, support tickets, and messages you send us.
3. How We Use Your Information
We use your information to: provide, operate, and improve the Operent platform; process payments and send billing communications; send transactional emails and SMS (quote confirmations, booking updates); send product updates and marketing communications (you can opt out at any time); provide customer support; detect and prevent fraud, abuse, or security incidents; comply with legal obligations; and generate aggregated, anonymized analytics to improve our product. We do not use your data to train third-party AI models without your consent.
4. AI Features and Data Processing
Operent uses third-party AI providers (including Google Gemini, Groq, and OpenAI) to power features such as OVI voice assistant, AI quoting, Brain insights, and Lead Forge. When you use these features, relevant data (such as booking details or call transcripts) is transmitted to these providers subject to their data processing agreements. AI-generated outputs are not stored beyond what is necessary to deliver the feature. We do not share your business data with AI providers for model training purposes.
5. Data Sharing and Third Parties
We do not sell your personal data. We share data only with: (a) Service providers who help us operate the platform — including Supabase (database/auth), Vercel (hosting), Stripe (payments), Twilio (SMS), Resend (email), and AI providers — under data processing agreements; (b) Law enforcement or regulators when required by applicable law or valid legal process; (c) Acquirers in the event of a merger, acquisition, or sale of assets, with notice to you. All third-party providers are contractually required to protect your data and use it only for the purposes we specify.
6. Cookies and Tracking
We use cookies and similar technologies for: session management (required for the platform to function), analytics (Google Analytics / GTM to understand usage patterns), and preference storage. You can disable non-essential cookies through your browser settings. Disabling cookies may affect platform functionality. We do not use cross-site advertising trackers.
7. Data Retention
We retain your account and platform data for as long as your subscription is active. After cancellation, your data is retained for 30 days so you can export it, then deleted. Usage logs and aggregated analytics may be retained longer in anonymized form. You can request early deletion by emailing info@operent.co.
8. Security
We implement industry-standard security measures including TLS encryption in transit, AES-256 encryption at rest (via Supabase), row-level security (RLS) for multi-tenant data isolation, access controls and audit logging, and regular dependency updates. While we work hard to protect your data, no system is perfectly secure. Please notify us immediately at info@operent.co if you believe your account has been compromised. Note: Operent is not currently SOC 2 certified.
9. Your Rights
Regardless of where you are located, you may: access a copy of your personal data; correct inaccurate data; request deletion of your data; opt out of marketing communications at any time (unsubscribe link in every email); and export your business data via the platform. If you are in the EU or UK (GDPR), you additionally have the right to restrict or object to processing and to lodge a complaint with your local data protection authority. If you are in California (CCPA), you have the right to know what personal information we collect and to opt out of any sale (we do not sell personal information). 10. Children's Privacy
Operent is a business platform intended for users 18 and older. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, contact info@operent.co and we will delete it.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email or in-app notice at least 14 days before they take effect. Continued use of the Service after the effective date constitutes acceptance of the updated policy.
